Executive Administrative Assistant
Job Description
A leading Eastern NC agency is hiring a full time Executive Administrative Assistant to provide administrative support to their upper-level staff. This is not an entry level position as persons in this role will be responsible for working alongside a Project Analyst to ensure that leadership operations remain in sync. This role is directly responsible for supporting the Director, Assistant Vice President and Vice President level staff so similar experience will be required.
Ideal candidate is a self-starter who is highly organized with strong planning, time management, and communication skills. Position will require the ability to take initiative and anticipate the needs of a busy staff and assist with departmental operations.
Responsibilities:
- Directly responsible for supporting the Director, Assistant Vice President and Vice President level staff
- Manages calendar and independently schedules appointments
- Screens incoming calls and correspondence and responds independently when possible
- Monitors and maintains department record keeping systems, including highly sensitive and/or critical administrative and financial data.
- Coordinates project-related tasks to include the assignment and monitoring of task completion Reserves meeting locations, orders office supplies, and prepares agenda and notices for various meetings
- Arranges complex and detailed travel plans and itineraries and compiles documents for travel-related meetings
- Always uses discretion in communication both at work and outside of workplace so as not to release confidential information
- Tactfully handles difficult situations and ensures all contacts are handled professionally and always with courtesy with no exceptions
JOB REQUIREMENTS
- Prior experience as an executive administrative assistant
- Mental Health/Behavioral Health background preferred
- Experience with Microsoft Office
- Ability to pass and complete pre-employment screenings
ADDITIONAL INFORMATION
Position is remote and contract based, lasting 3-6 months with possibility of an extension.
Work schedule is Monday-Friday, 8:30 a.m. - 5:00 p.m.
