Responsibilities:
As the Business Systems Administrative Coordinator, you will play a vital role in supporting managers and project teams. Your key responsibilities will include:
- Meeting Management: Accurately capturing and transcribing meeting minutes, ensuring clear and concise records of discussions and action items. You will also be responsible for coordinating meeting schedules, preparing agendas, and distributing relevant materials.
- Managerial Assistance: Providing administrative support to managers, including managing calendars, preparing correspondence, and assisting with various organizational tasks.
- Deliverable Tracking: Diligently monitoring projects, tracking progress against deadlines, and proactively identifying potential roadblocks. You will maintain organized records of project status and ensure timely follow-up.
- Cross-Departmental Coordination: Facilitating effective communication and coordination between different staff members and departments to ensure smooth project workflows.
- Schedule Management: Maintaining and updating project schedules, ensuring all stakeholders are aware of key milestones and deadlines.
Job Requirements
Qualifications:
The ideal candidate will possess the following skills and experience:
- Proven proficiency in all Microsoft Office applications, including Word, Excel, and Office 365.
- Exceptional listening skills with the ability to accurately and efficiently translate meeting discussions into comprehensive notes and minutes.
- Strong coordination abilities and experience in facilitating communication and collaboration across teams.
- Demonstrated ability to track deadlines, manage schedules effectively, and maintain meticulous attention to detail.
- Excellent organizational and time-management skills with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
- Proactive and resourceful approach to problem-solving.
Additional Information
Contract, remote position - candidate must have private, distraction-free work environment.
Position will last until April 30, 2026.
Work schedule is Monday - Friday, from 8:30 a.m. - 5:00 p.m.
Background check and pre-employment drug screening are required.
